Profit margins on wholesale makeup orders

Calculating profit margins on a wholesale makeup order means more than comparing supplier and shelf prices. Freight, import charges, payment fees, packaging, labour, discounts and unsold stock reduce the money left. For an Australian retailer, the useful measure is profit after those costs, shown as a percentage of actual selling revenue.

Gross profit is selling price minus product cost; gross margin divides that profit by selling price. An A$30 product sold for A$60 produces A$30 gross profit and a 50 per cent gross margin, even though the mark-up is 100 per cent. Net profit then accounts for fulfilment and selling costs.

Wholesale buying also changes cash timing. Payment can be due before goods reach the warehouse, while GST may be charged or recovered at another point. Linking the purchase order, freight invoice, sales receipt and bank settlement shows what the business actually keeps.

Separate revenue from true profit

Begin with the amount the customer pays, excluding GST collected on a consumer sale. For a GST-registered wholesale customer, record the tax separately on the invoice and the ex-GST revenue. Subtract discounts, refunds and promotional allowances before calculating gross profit.

For example, a foundation bought for A$30 and sold for A$60 excluding GST has A$30 gross profit. Assign A$5 delivery, A$1.80 payment processing, A$1.20 packaging, A$3 staff time and A$2 for returns and promotion. Net profit is A$17, giving a 28.3 per cent net margin on A$60.

Separate direct order costs from shared costs. Courier charges, packaging and a product demonstration belong to the order that caused them. Allocate rent, software and permanent wages consistently, using sales value or order count, then review after each buying cycle. A high gross percentage can still underperform if a shade occupies shelf space for months or attracts frequent returns.

Price for the Australian market

Set prices from demand, condition and service, not a single desired mark-up. Compare equivalent foundations, mascaras, blushes and lipsticks across MAC, Dior, Bobbi Brown, Benefit and Urban Decay. Ask whether freight or a small order quantity creates most of the apparent premium. A slow shade may need a discount, but its new price must still cover the cost of selling it.

A distinctive collection can support a higher price when customers want a particular launch or finish. The MAC Venomous Villains range is a useful assortment comparison: assess landed costs against comparable products from Dior, Bobbi Brown, Benefit and Urban Decay, then test the price locally. Sydney, Melbourne, Brisbane and Perth shoppers may encounter different sale events and delivery expectations.

Australian consumer prices normally include 10 per cent GST, while invoices to registered businesses should state the tax treatment clearly. Keep ex-GST and inc-GST figures separate. The Australian Competition and Consumer Commission expects discount and clearance claims to be genuine, so do not use an inflated original price or present an available product as a scarce offer.

Control costs beyond the invoice

Calculate landed cost per sellable unit: (invoice + freight + insurance + duty + import charges + exchange loss + local delivery allocation) ÷ sellable units. Include inspection, damaged packaging and stock movement when material. Keep GST visible in the cash forecast, but treat eligible GST recovered through the Business Activity Statement as recoverable, not permanent cost.

Australian Border Force rules belong in the calculation. GST has applied to low-value imported goods since 1 July 2020, so a small shipment is not automatically tax-free; duty depends on origin and tariff classification. Confirm the importer of record, duty payer and freight billing. A registered importer may claim eligible import GST through its BAS, subject to its circumstances.

Cosmetics also need market-ready documentation. Ask suppliers for ingredient information, batch or lot details, expiry dates and Australian responsible-person information required for cosmetics, and check performance claims against Australian Therapeutic Goods Administration requirements. These checks reduce unsellable stock. Compare courier surcharges for Melbourne, Brisbane, Perth and regional destinations, including extra handling for heat-sensitive products in summer.

Test margins with realistic orders

Build the calculation around how the order is handled. Record SKU, quantity, invoice price, selling price, GST, discount, payment fee, freight, packaging, gift-with-purchase cost, labour time and expected refunds. Keep unsold units in a separate allowance. A kit containing samples and full-size products should not inherit a single item’s margin.

Test a small order, a normal order and a promotional order before a large purchase. Calculate contribution per unit after variable costs, then divide fixed expenses such as courier booking or campaign fees by it to find the break-even quantity. If a discount, an A$3 courier increase or free gift is added, check whether net margin still meets the store’s target.

Wholesale orders can include split deliveries, loyalty points, colour testing, gift wrapping, damaged units and shades left on the shelf. Record these costs as a fixed amount or revenue percentage and use the same method each time. The result should reflect the order’s actual workload, not merely the gap between two catalogue prices.

Compare margin scenarios

The comparison below uses Australian dollars and excludes GST. It assumes a A$30 product cost, A$13 of order costs and a A$60 selling price for the normal order; the bundle uses A$39 of products and A$15 of order costs. These are planning examples, not guarantees.

Scenario Selling price (ex GST) Product cost Gross margin Order costs Net margin
Normal order A$60 A$30 50.0% A$13 28.3%
15% price discount A$51 A$30 41.2% A$13 15.7%
Free delivery A$60 A$30 50.0% A$18 20.0%
Bundled kit A$75 A$39 48.0% A$15 28.0%

A 15 per cent discount removes A$9 from revenue while costs stay unchanged, reducing net margin to 15.7 per cent. Free delivery costs A$5 more and may still work if it raises conversion or basket size. A bundle preserves margin when the added items are bought together, but should not combine stock likely to remain unsold.

Choose the scenario by its purpose: discount to move dated stock, bundle to lift basket size, and free delivery where courier pricing allows. Recalculate when exchange rates, freight or supplier terms change. Keeping assumptions beside the figures gives buying reviews a defensible price and exposes products needing another supplier or promotion.

Make the calculation repeatable

A repeatable system should be quick during a supplier call and clear for a finance review. Store current supplier terms, freight assumptions, tax treatment and target margin in one sheet, protect the formula, and require a second review for discounts below target.

Cost capture checklist

  • Record the invoice, quantity, freight, duty, insurance and expected exchange-rate movement.
  • Separate GST collected, import GST paid and eligible GST recovered through the BAS.
  • Add payment fees, packaging, delivery, allocated labour and refund allowances.
  • Convert sellable units into a per-SKU landed cost and note expiry risk.

Margin review checklist

  • Show ex-GST selling price, gross profit, gross margin, net profit and net margin.
  • Test discounts, free gifts, loyalty points and split-delivery scenarios.
  • Compare results with stock turnover, storage needs and local demand.
  • Recheck the calculation when supplier costs, courier rates or the AUD exchange rate changes.

Review each completed order against the bank deposit, actual courier invoice, refunds and remaining stock. Differences can reveal a surcharge, pricing mistake or product that needs less shelf space. Keep categories consistent so the next buying decision starts with evidence rather than intuition.

For the next order, create a one-page margin sheet with every planned SKU, landed cost, selling price, order fee and expected net margin, and release payment only after that sheet meets the store’s target.
